YS2022 Marketing Requirements

Overview

Congratulations on your successful application to the Year of Stories 2022 Community Stories Fund.  

This fund is delivered in partnership between VisitScotland and Museums Galleries Scotland with support from National Lottery Heritage Fund thanks to National Lottery players. 

As a funding recipient, there are things you need to do to acknowledge your funding. These are outlined on this page.  

We are also providing the following support to help your organisation make the most of taking part in the Year of Stories:  

  • Our Marketing and PR Toolkit contains hints and tips on how best to promote your event. 
  • Our YS2022 Marketing and Communications Officer, Carolyn Mills, is available to offer advice and support with marketing and PR ideas, copywriting, press releases and more. You can contact her at carolynm@museumsgalleriesscotland.org.uk
  • We will provide free webinars on marketing and event management skills, details of which will be sent to you.

What you will need to do

As a funding recipient, you will need to acknowledge your funding and share any documentation of your event. 

These are the things you need to do:  

  • Submit your YS2022 Event Listing Form, event photograph and Media Release Form as soon as possible. 
  • Announce your grant support after VisitScotland’s official media launch of the Year of Stories Events Programme on 14 December. 
  • Apply the YS2022 Community Stories Fund logo panel to your promotional materials. 
  • If you decide to carry out audience evaluation, you must include three specific Year of Stories questions in your survey. 
  • Once your event has taken place, please send any photographs and video footage you may have to Carolyn Mills at carolynm@museumsgalleriesscotland.org.uk. And if you hosted a digital event, please provide the link to the recorded event. 

Submit your YS2022 Event Listing Form

Once you are ready to promote your event, we will require you to sign up to the Year of Stories Events Programme. This is a FREE opportunity that will align your event with the Themed Year and allow you to benefit from associated promotional activity. This will include an event listing on VisitScotland.com, a global consumer website which attracts over 22 million visitors per year.  

In order to create your event listing we require you to submit a completed YS2022 Event Listing Form, a promotional photograph or image, and a completed Media Release Form. The Media Release Form allows VisitScotland and partners to use your image to promote your event. 

Advice on how to write successful marketing copy and how to source a good promotional photograph can be found in our Marketing and PR Toolkit.

For your event to be listed, you will need to have confirmed times, dates and venue, so please don’t submit the form until you have these in place.  

When you are ready, please send your completed YS2022 Event Listing Form, photograph and Media Release Form to Carolyn Mills at carolynm@museumsgalleriesscotland.org

Announcing your grant support

VisitScotland is planning to host a media launch for the Year of Stories on 14 December. We may include basic details about your event in the announcement unless you tell us otherwise.  

Embargo notice – please do not announce your grant support until after the announcement by VisitScotland has taken place on 14 December. 

Social media  

Please announce your grant support via social media any time after VisitScotland’s media launch (so any time from 3pm on 14 December).  

Please use the Themed Year hashtag #YS2022 in all social media promotion of your funded activity.

Tip: if you want to tag an organisation on Facebook, include the ‘@’ symbol in front of their Facebook name. EventScotland and Museums Galleries Scotland don’t currently use Facebook so please use a hashtag for them instead.

Again, EventScotland and Museums Galleries Scotland don’t currently use Instagram so please use a hashtag for them instead.  

Press release or other written copy

If possible, we would advise you to send your press release out from Thursday 16 December 2021 onwards. This will avoid clashing with VisitScotland’s media launch and any competition for press coverage. 

The following four things must be included in all press releases about your funded activity:

  • Please mention that your activity is taking place as part of the Year of Stories 2022 within the first three paragraphs.

  • The following line must be included to acknowledge your award:  

This event has been supported by the Year of Stories 2022 Community Stories Fund. This fund is being delivered in partnership between VisitScotland and Museums Galleries Scotland with support from National Lottery Heritage Fund thanks to National Lottery players. 

  • This VisitScotland quote must be included:

Marie Christie, Head of Development at VisitScotland said: "We are delighted to be supporting <INSERT EVENT NAME> through the Year of Stories 2022 Community Stories Fund. Events play an important role in our communities as they sustain livelihoods and help to celebrate and promote our unique places, spaces and stories. Themed Years are all about collaboration and Museums Galleries Scotland, National Lottery Heritage Fund and VisitScotland are pleased to work in partnership to create this fund to showcase community stories. By supporting events taking place within our communities, including <INSERT NAME OF EVENT>, new opportunities with be provided for locals and visitors to come together and find out more about the diverse stories, past and present, that our communities have to share.” 

  • The Community Stories Fund logo panel should be placed at the end of your release – you can download it from the 'Other useful resources' section of the Marketing and PR Toolkit.

Feel free to write your own release, or you can use our Press Release Template as a helpful guide.

Please send all press releases announcing funded events for approval to Carolyn Mills at carolynm@museumsgalleriesscotland.org.uk. Please allow 7 days for approval. 

YS2022 Community Stories Fund logo panel and brand guidelines

When publicising your event, you must acknowledge support by including the Year of Stories 2022 Community Stories Fund logo panel on all publicity and marketing materials relating to your event. You must follow the Brand Guidelines regarding the use of the logo panel.

You can download the Logo Panel and Brand Guidelines from MGS's Dropbox or from the 'Other useful resources' section of our Marketing and PR Toolkit

When producing materials that feature the logo panel, visuals must be sent for approval to Carolyn Mills at carolynm@museumsgalleriesscotland.org.uk. Please allow 7 days for approval.

Audience evaluation

If you choose to carry out audience evaluation, you must include three specific Year of Stories questions in your survey (see below for details) and will be asked to provide a copy of the evaluation with your end of project report. For guidance, an Audience Survey Template and advice on how best to conduct audience evaluation at events will be available on this website shortly. 

These are the three specific Year of Stories questions to include in your survey: 

  • Are you aware 2022 is a Themed Year celebrating Scotland’s Year of Stories?  
  • Were you aware this event is part of Scotland’s Year of Stories 2022 (#YS2022 #TalesOfScotland)?  
  • After attending this event are you:  
    • …more aware of the wealth and diversity of stories written, inspired by and created in Scotland? Y/N  
    • …more likely to visit locations or places connected with Scotland’s stories? Y/N  
    • …inspired to share your own story or stories of Scotland? Y/N 

Marketing support and advice

Once you have submitted your YS2022 Event Listing Form and announced your grant support, please make use of our Marketing and PR Toolkit. It has been specially designed to support you and your organisation to make the most of taking part in the Year of Stories. It includes useful hints and tips, example templates and links to more detailed advice pages.
